Dear Clergy and Convention Delegates:
On behalf of the Bishop, we are sending this packet to you with regard to information that you will need for the upcoming Pre-Convention Deanery meetings and the 26th Annual Convention. The Convention will be held at St. Vincent’s Cathedral Church, 1300 Forest Ridge, Bedford, hosted by the Fort Worth East Deanery. The Church phone is (817) 354-7911.
The opening Eucharist will be held at St. Vincent’s Cathedral on Friday, Nov. 14, at 2 p.m. Our guest preacher will be The Rt. Rev. William Godfrey, Bishop of Peru (pictured at left). All Clergy are to vest and process at the service in cassock, surplice, and white stole. Registration for the opening business session will take place in the School Gym immediately following the 2 p.m. Eucharist. The opening session of the Convention will follow at 4:30 p.m. in the gym and continue until 6 p.m. Since this is the opening session of Convention, all clergy and delegates should be in attendance.
The evening will continue at St. Vincent’s Cathedral with hospitality beginning at 6:30 p.m. followed by a BBQ dinner and entertainment. Dinner reservations are required and are included in this packet with the Meal Reservation Form. Please pay strict attention to the deadlines. Also, information is included for those needing overnight accommodations.
The Saturday session will convene at 9 a.m. in the School Gym beginning with the Bishop’s Annual Address. Registration will be in the gym from 7:30 a.m. until 8:45 a.m. It is necessary that everyone re-register for the Saturday session. A continental breakfast will be served during registration. Morning Prayer will begin at 8:30 a.m. in the Gymnasium. We will break for lunch around noon; the combined cost for Saturday’s breakfast and lunch will be $15 per person. This will also be a very good time to visit the vendor displays, located outside the gym in the hallways and selected classrooms. After lunch, the Convention will continue until all business has been transacted.
As you prepare for convention, please read through all the information in this bulletin thoroughly and plan on attending your Deanery meeting where the various nominees, budget, and other items to be presented at the Convention will be discussed. All six deanery meetings will take place on Thursday, Oct. 23. The time and location of each meeting has been announced. Nothing you receive in this packet will not be reproduced at Convention. Please bring this material with you to the Deanery meeting and the Convention.
We are also providing the proposed 2009 Diocesan Budget that has been recently formulated by the Executive Council. Along with the budget is a brief narrative that is designed to anticipate any questions you may have and is provided for your assistance.
Also in this bulletin are the names, photos, and brief biographies of all of the persons nominated for elective office.
Once again, please note that registration is necessary for both Friday and Saturday sessions.
This year’s theme for Convention is “Contending for the Faith.” The Bishop is looking forward to seeing each of you at the Eucharist on Friday afternoon at 2 p.m. as we begin this year’s Convention.
Finally, your attention to this material is vital as you represent the various parishes and missions of this Diocese.

TO: Convention Delegates and Clergy

SUBJECT: Diocesan Convention Information
The 26th Annual Convention of the Diocese of Fort Worth will be hosted by the Fort Worth East Deanery and St. Vincent’s Cathedral Church, 1300 Forest Ridge, Bedford, 76022. The opening Eucharist will take place on Friday, Nov. 14, 2008, at St. Vincent’s Cathedral, beginning at 2 p.m. The opening session of the Convention will begin at 4:30 p.m. in the School Gymnasium and continue until 6 p.m. Registration for the opening session will take place in the School Gym immediately following the conclusion of the Eucharist. Following adjournment of the opening session at 6 p.m., we will then be treated to hospitality, supper, and an evening together hosted by St. Vincent’s Cathedral. Information concerning reservations for the Friday night dinner, hotels (if needed), and lunch on Saturday (to be provided by St. Vincent’s) will be given in the next Convention information bulletin, which will be posted here on Sept. 26, 2008. Any delegate who has difficulty printing the necessary information should request copies of the needed pages from his or her church office. If neither of these options is available, please contact Gala Pryor at (817) 244-2885, and she will be happy to mail the packets to you.

On Saturday, Nov. 15th, the Convention will continue with registration for the Saturday session to begin at 7:30 a.m. until 8:45 a.m. in the School Gym. A continental breakfast will be served during registration. Morning Prayer will begin in the Church at 8:30 am. The Saturday Convention session will formally convene at 9 a.m. in the School Gym. |

Please note that it is necessary for everyone
to re-register for the Saturday session.

When the Convention breaks for lunch, there will be ample time for everyone to visit the vendor areas. The Convention will reconvene at 1 p.m., and will continue until all business is accomplished. |

The Bishop’s annual address to the Convention will be given at the beginning of the business session on Saturday morning. |
Information concerning reservations for the Friday night dinner, hotels (if needed), and lunch on Saturday (to be provided by St. Vincent’s) will be given in Convention information bulletin #2, which will be posted here on Friday, Sept. 26, 2008. Don’t worry about making your reception/supper and lunch reservations or hotel reservations at this time. You will be given forms for these reservations in bulletin #2.

Pre-Convention Deanery Meetings will be held Thursday, Oct. 23. (See schedule linked above.) In keeping with Canon 35, the Deanery Council is made up of the members of the clergy who reside in the Deanery, who are entitled to a vote in the Convention, and all elected Convention Delegates for the Parishes and Missions of the Deanery, and the Lay Deanery Representatives to the Executive Council. These Council Members will have seat voice and vote in the upcoming Pre-Convention Deanery meetings. Visitors who attend do not have voice or vote. All visitors who attend will be seated in an observer’s area. |

For your convenience, we are including the names of the lay and clerical representatives to the Executive Council from each Deanery. We are also including a form, which you may use to nominate someone to fill any vacancy on the Executive Council from your Deanery. We ask that if you choose to nominate someone, you forward the Nomination Form to your Dean at least one week prior to the Pre-Convention Deanery Meeting. Election for your Deanery positions will take place at the Pre-Convention Deanery Meeting. |

DEADLINES

RESOLUTIONS |
|
All resolutions shall be delivered to the Diocesan Office (to be forwarded to the Secretary of the Convention) by Friday, Sept. 12, 2008. The resolutions must be processed by the Resolutions Committee in adequate time to place written copies of the Resolution(s) in the hands of the convention delegates and clergy no later than twenty (20) days before the opening day of the Convention. Any resolution, which shows on its face that it deals with matters arising after the deadline date, shall be exempt from this requirement. All other resolutions delivered to the Secretary after the deadline shall be governed by Rule 27. |

In addition to the above, the Constitution and Canons Committee will provide each delegate and clergy member with any proposed changes to the Constitution and Canons in written form. These changes, if any, will appear in the next Convention information bulletin, in September. |
Pictures and biographies of the nominees for each open position will be featured in the September information bulletin. The proposed Diocesan Budget for 2009 will be included in the next Convention bulletin as well. In other words, everything each delegate and clergy member will need will be in hand in enough time for digestion before the Pre-Convention Deanery Meetings. |
